Subcontractor Workflow / Portal
I want a lightweight subcontractor portal or task-based access similar to what I had before. I need to assign work and quickly see updates without giving full system access, because managing subs is a core part of my workflow.

PinnedThe Sub & Vendor Portal is live for Scale customers.
Subcontractors now have their own space to participate on bids, view scope, submit docs, and stay in sync without needing a full Handoff account or a paid seat.
Hope you enjoy and, as always, we're excited to hear feedback from you! Best,

Subcontractor Access / Permissions
I want a way for subcontractors to submit updates (like daily logs and photos) without requiring paid user seats. I manage many subs and can’t justify paying for each one just to upload progress, which limits my ability to track job activity efficiently.

Subcontractor Portal
It would be great if you had a subcontractor portal, so we could let them access plans and notes. This is a great program, but that is a key element that is missing. Subcontractor communication would also me nice, just has assigning work flow and showing schedules. Thanks for your help or comments.

Subcontractor Bidding Workflow
I self perform, meaning my employees perform 5% or less than all of our work. 95% of it is subcontracted. I need to be in the details of estimating for about 5% of things and then coordinate the big picture. I rely a lot on I've got a farm out bid packages, and then I'll receive, for example, electrical estimates from 4 different guys and be able to plug that into my bid. At present in builder trend, I can send out a scope to multiple subs at once and they can get me their price back. So I can log back in two weeks later and go, oh, look. I've got bids here from all. I can, manipulate them in some ways and then say, I'm selecting x sub. Boom, and it just imports their price to my estimate.

I would agree, we need this.
Ideally the subs could fill in the pricing the way the AI uses it.
So that each quote given helps teach the AI what actual subs are pricing.
The goal would be to have the AI costs learn from real world sub bids.
In an ideal world the AI would be connected to actual subs so that if the AI prices my roof at $10,000, I can click a button and the AI will provide me with a list of local subcontractors that will be able to perform the work at the price it specified.

FREE VIEW-ONLY FIELD ACCESS TIER
What I need: A free or significantly reduced access tier for crew members and subcontractors who only need to view their assigned documents, schedule, and daily logs.
Why it matters: The current math does not work for small crews.
Pro plan: $299/month
4 crew members at $20/seat: $80/month
3 regular subs at $20/seat: $60/month
Total: $439/month — $5,268/year
A helper who needs to see his work order and the day's schedule does not need estimating or invoicing access. Charging full seat price for view-only field access is a barrier to platform adoption and is actively pushing contractors back to free text group chats — the exact fragmentation Handoff is designed to solve.
Suggested implementation: Free "Field View" role — can view assigned project documents, schedule, and daily logs; can upload photos to daily logs only; cannot create or edit estimates, invoices, or proposals.

i would also agree this is needed.
We need this for sub contractors as well.
I would want to be able to have my regular sub access the app directly to see their tasks, and update daily logs, and create punch lists tasks.

they have the option to create a work order, scope of work, and material list, and daily logs now which you can send as a pdf or other in a text or email or link. but if they make a sub portal kinda like the client portal that would be cool cause then it wouldnt be on you to send everything to everyone for every job. it puts the responsibility on the worker or sub contractor

Ability to get quotes from Sub contractors through Handoff
The AI pulls from regional pricing for labor and materials. Some times those numbers are way off of any real sub pricing we can find.
It would be great if users had the ability to publish their standard rates.
For example, the foundation costs the AI creates are always much lower than we can get any sub to do the work for. I would love to use the AI rates.
It would be great if any concrete companies using handoff could mark themselves as open to work. Then when I create an estimate for a foundation, the AI could give me referrals for anyone that does that work in my area, and provide an accurate estimate based on that company’s pricing structure.

Sub Bid Mgmt: let me receive sub bids in Handoff and include them into my estimates.
I need to send a scope of work to multiple electrical subs and receive/compare prices. I need to use the most complete bid at the best price in my estimate. Help me do that.

Add Collaborators
The other system I use allows me to invite collaborators into my projects like my subs. This allows them to view pictures and notes about the project them without making them a user in my account. I like the walk through mode but Id have to manually share every single doc every time and there is not unified place for my subs to go and view all notes and pictures related to a project. I use alot of subs so it does not make sense to add them as users to my handoff account. It would be great to have designated space to invite them as collaborators in link a portal format of sorts to better manage sharing information about a job.

Let me send estimate groups to multiple subs or vendors, so I can get their prices. Allow view control (let them see groups, items, qtys, but no rates or $).

Post Scope of Work to Subcontractors
We should be able to post jobs to sub-contractors. We should be able to post scope of work with labor and material prices. Multiple sub-contractors should be able to view and choose which parts of the job they would like to accept. They should also be able to post their own bids as well.
